Who we are
We are Polished & Pristine, based in Darlington and serving the surrounding area (~25 miles). You can contact us via the details on the Contact page.
What data we collect
- Contact form details: your name, email, phone, vehicle details, and message.
- Booking context: your preferred dates/times and service interests (e.g., coatings, correction, PPF, valeting).
- Basic site logs: our hosting may record standard server logs (IP, user-agent, date/time) for security and diagnostics.
How we collect it
When you submit the form on /contact.html, your message is sent to our email using FormSubmit, a third-party form relay service. We do not run our own server-side processing.
Why we use your data (lawful bases)
- To respond to your enquiry and provide quotes (UK GDPR: legitimate interests).
- To fulfil a booking / contract if you proceed (UK GDPR: contract).
- To keep basic records for tax and accounting (UK GDPR: legal obligation).
Who we share data with
- FormSubmit (form relay) to deliver your message to our inbox.
- Email provider (to receive and reply to your enquiry).
- Professional advisers (e.g., accountant) where legally necessary.
We do not sell your personal data.
How long we keep it
Enquiry emails are kept for up to 12 months. If you become a customer, we may retain related records for up to 6 years to meet accounting and tax requirements.
International transfers
FormSubmit and email services may process data outside the UK. Where this happens, we expect appropriate safeguards to be in place (such as standard contractual clauses) provided by those processors.
Cookies & tracking
We aim to keep tracking to a minimum. If we add analytics in future, we’ll update this page and (where required) ask for your consent.
Your rights (UK GDPR)
- Access the personal data we hold about you.
- Ask us to correct inaccurate data.
- Ask us to delete your data (where applicable).
- Object to or restrict certain processing.
- Request a copy of your data in a portable format.
To exercise these rights, contact us via the Contact page. If you’re not satisfied, you can complain to the UK ICO (Information Commissioner’s Office) at ico.org.uk.
Security
We use reputable processors and standard security practices for email and account access. No method of transmission or storage is perfectly secure, but we take reasonable steps to protect your data.

We may update this policy from time to time. Significant changes will be reflected by the “Last updated” date above.
